Step-by-Step Guide
The Ordering Process
Please select the type of equipment you would like to order.
Complex Wheelchairs
Step 1: Speak to our Mobility Specialist
We’ll call to ask about your insurance benefits, physician information, your mobility limitations, and what you hope to accomplish with a new power mobility device (PMD).
Step 2: Visit your physician and physical therapist
You will need to schedule an appointment with your physician and obtain a referral for a seating evaluation. Once your physician documents these needs in your medical records and fills out a written order, a Reliable Medical Representative will prepare a written order specifying the model of PMD and any accessories needed.
Step 3: Obtain the proper medical documentation
Once the forms are returned from the physician, Reliable will prepare and submit the documents to your insurance. Insurances typically we will take 2 weeks to review the claim and will send approval to Reliable Medical, and your physician.
Step 4: Request authorization from funding source
Once we receive the documentation from your provider, we’ll submit it to your insurance company. In some cases, the insurer may request additional information before approving the request.
Step 5: Fitting & Delivery
Upon receiving approval, you will be given a phone call to schedule delivery and fit you new power wheelchair.
Manual Wheelchairs
Step 1: Order Entry

We will reach out to the care team to obtain the required documentation needed to bill insurance.
Step 4: Final Check
The final checks are preformed to ensure the correct items are ordered.

We will work with your care team to ensure the equipment is delivered when needed.
Hospital Beds
Step 1: Order Entry

Pediatric Equipment

You will then need to schedule an appointment with your physician to discuss your mobility needs. Once your physician documents these needs in your medical record and fills out a written order, an Reliable Medical representative will prepare a written order specifying the model of PMD and any accessories needed.
Step 3: Submit Forms to Your Insurance
Once the forms are returned from the physician, Reliable will prepare and submit the documents to your insurance. Insurances typically we will take 2 weeks to review the claim and will send approval to Reliable Medical, and your physician.
Step 4: Delivery
Upon receiving approval, you will be given a phone call to schedule delivery and fit you new pediatric equipments.
Speech Device
Step 1: Send Referral & Records
Send the referral and release of records forms to our AAC Sales Consultants. They will verify the patient’s insurance coverage for a speech-generating device (SGD).
Step 2: Test Drive Your SGD Options
Arrange a consultation with one of our AAC Sales Consultants, who will provide SGDs for you to trial with your patient.
Step 3: Finalize Insurance Approval
Fill out and submit all necessary insurance documentation, including the evaluation report, letter of medical necessity, recent therapy notes, and IEP (if applicable).
Step 4: We Handle the Paperwork
We will gather all required doctor’s signatures and documentation. Upon receipt, we will submit to insurance for authorization.
Step 5: Delivery & Lifelong Support
Upon insurance approval, we will order the SGD and schedule delivery once it arrives. Contact us anytime for training or support.
Respiratory Equipment
Step 1: Connect with Us
We’ll guide you through each step to get started with equipment like a ventilator.
Step 2: Visit Your Doctor
Your physician will assess your needs, run tests, and send us the results.
Step 3: Insurance Approval
We’ll handle the paperwork and submit everything to your insurance for approval.
Step 4: Delivery & Setup
Our trained staff and a licensed Respiratory Therapist will deliver and set up your equipment, and show you how to use it.
Step 5: Ongoing Support
We’ll monitor your device monthly and check in periodically to ensure it’s working safely. We’ll also remind you when it’s time to see your doctor again for continued coverage.
Sleep Equipment
Step 1: Connect with Us
We’ll walk you through the steps to get started with sleep equipment like a CPAP machine.
Step 2: Visit Your Doctor
Your physician will assess your sleep and breathing needs and may order a sleep study.
Step 3: Complete a Sleep Study
Your sleep and breathing patterns will be recorded and the results sent to us.
Step 4: Insurance Approval
We’ll submit all required documents to your insurance for approval and coordinate next steps once approved.
Step 5: Mask Fit & Setup
Our team will help you find the right mask and train you on how to use your device.
Step 6: Ongoing Support & Supplies
We’ll monitor your device remotely for the first 90 days to ensure it’s working well. After that, we’ll check in regularly and provide replacement supplies like masks and tubing as covered by your insurance.
